2008 AIA Housing Awards and AIA/HUD Secretary Awards Online Submission Tutorial

For your convenience we have created a tutorial to assist you in the new online submission process. Please review the following information carefully before beginning your submission.

The deadline for submissions is December 14, 2007, 12 a.m. (midnight) EST.

Award Type

The Award Type page will be the first page to appear when you begin the submission process. This is where you choose the program to which you are submitting, either the 2008 AIA Housing Awards or the 2008 AIA/HUD Secretary Awards. Review the eligibility requirements for both programs and choose carefully because you cannot go back and switch once you have begun your submission.

Deadlines and Procedures

The Deadlines and Procedures page explains the program's background, recognition possibilities, eligibility requirements, and judging criteria. Read this page carefully and check the I Have Read and Agree to the Deadlines and Procedures box before selecting Save and Continue.

Payment Type

The Payment Type page determines the price of your submission based on which award program you are entering and whether you are an AIA member. We encourage all submitters to become members of the Institute prior to entering a project. If you want to submit a project to both award programs, you must select and complete individual submissions for each award program. Check the appropriate box before clicking Save and Continue.

Payment

The Payment page has a drop-down menu from which to select the type of credit card you will be using (American Express, MasterCard, or Visa). After completing the required fields, select the Charge and Continue button. All payments are nonrefundable.

Project Information

The Project Information page is where you choose the most appropriate category for your project and provide a brief project description (limited to 500 words or 5,000 total characters). AIA Honors and Awards cannot advise which category is best suited to your project; that decision is entirely up to you. After you make your decision, select the Save and Continue button.

Concealed Identification Form

The Concealed Identification Form page is where you enter your project's contact information. If your project receives an award, the AIA will use the information entered on this page to give recognition. It is imperative, therefore, that all the information entered in this page be accurate. If you have additional credits, you may save them in .PDF and upload them in the Release Forms Upload section. Please clearly label the document as Additional Concealed ID.

Upload Attachments

The Upload Attachments page is where you submit all your project's images. Images must be saved as either a .JPG or .PDF file.  You can upload up to three files at a time and provide a description of each file in the Attachment Description box. Each time you select the Upload Files button, your files will be uploaded and you will be automatically returned to this page to continue uploading any remaining images, three at a time. However, the Honors and Awards Department recommends saving all of the project images in one .PDF file as a slide show presentation. If the order you want your images viewed exceeds the 6MB limit two separate .PDF files can be used and labeled accordingly. Uploading the images in a slide show presentation allows the jury to view the submission faster and helps facilitate careful consideration of all projects. Please note that award recipients will be asked for high resolution images at a later date so it is not necessary to upload large files for the submission. .

Release Forms Upload

The Release Forms Upload page is the last submission page. Here you provide the forms necessary to ensure the awards process's legality. The four forms on this page that must be completed are the Release, Copyright Permission, Intern Declaration, and All Firm Signature. All forms must be downloaded, printed, signed, saved in .PDF or .JPG format, and uploaded back onto the site. This does not all need to be completed at once. You can download and print the forms and then exit your browser without losing any of the information previously submitted. Also, you can upload the completed forms one at a time. After you select the Upload button, your files will be uploaded and you will have the opportunity to Save and Continue with your submission. You can return later and upload the remaining forms.

If you accidentally select the Save and Complete button and receive a confirmation e-mail, don't worry; you have until midnight December 14, 2007, EST, to edit your submission.
